Role Description

This is a key individual contributor role responsible for the efficient operation of our internship and semester programs, focusing on both technical oversight of the ZOHO CRM system and the development of student programs. The successful candidate will streamline processes, manage student and host company relationships, and ensure the effective placement and support of students during their programs. Working closely with the Director of Operations and other teams, this role will optimize CRM functionalities, enhance student experiences, and contribute to the continuous improvement of Learn International's operational processes.


Summary of Job Duties


Student Services and Programming (60%)

  • Create collaboration opportunities: Work closely with colleagues/management for development, communicate with partners and other stakeholders involved in the program development and support processes. 

  • Application Management: Organise and manage student applications; update applications annually  in ZOHO CRM.

  • Application Review: Overseeing student applications, ensuring all necessary information is complete and accurate. Protocols are followed in regards to health and safety. 

  • Interviews: Conduct interviews and train other team members to do interviews with students and match them with suitable internship placements; participate in interviews with host companies as needed.

  • Check-ins and Support: Ensure check-ins with students during student programs are done, ensuring a positive experience for both students and hosts.

  • Google Classroom Management: Update Google Classroom with relevant applications, supporting student engagement and success with intent to transition from Google Classroom for future. 

  • Accommodation - Facilitate homestay accommodation as required by program and coordinate semester student housing. Collaborate with the Custom Programs team to organise student residence accommodations and health accommodations.

  • Orientation - Overseeing the student agenda and experience, sourcing lecturers, assisting in the short term staff recruitment and scheduling 

  • Mid-Program Support: Ensure mid-program check-ins with students, providing ongoing support and addressing any issues that arise occur.

  • Health and Safety: Support students while

  • Survey Administration: Facilitate student surveys and reports

  • Training short-term staff: Assist in training short-term staff for internships and semester programs

  • Travel Tracking: Monitor and track student travel during free time, ensuring their safety and adherence to program guidelines.

  • Photo Contests: Oversee photo contests for all intern groups and semester students, fostering community and engagement.

  • Urgent Phone Rotation: Be on call for student emergencies as a part of a company rota.

Operational (20%)

  • Streamlining Processes: Continuously streamline processes related to internships and semester programs, focusing on efficiency and user-friendliness.

  • Annual Review: Update all processes with the Director of Operations annually, ensuring they remain relevant and effective.

  • Training: Train the team on any changes to process with the Director of Operations, ensuring smooth transitions and adherence to procedures.

  • Recruiting: Hiring short-term staff in conjunction with the Director of Operations to support in-country students.

  • Budgets: Work within multiple project budgets and ability to track costs and negotiate fees.

Program Development (20%)

  • Future business: Assist in developing proposals and RFP’s with Senior Management

  • Recruit host companies for internship placements

  • Updating processes and procedures

  • Event Planning: Assist in organsing activities related to programme planning

  • ZOHO CRM: Lead on ZOHO CRM functions, trainings and practices

  • Liaise with ZOHO CRM specialists to update and expand the CRM

  • Other as assigned

Required Qualifications

  • 5+ years in Recruitment, Human Resources, Project Management, International Education 

  • Experience working with Universities, specifically from the United States

  • Knowledge of or personal participation in study abroad and/or international education

  • Proven managerial and leadership experience

  • Excellent technology and digital marketing skills: Zoho CRM, Google platforms, Microsoft, Social Media (Twitter, Facebook and Instagram),

  • Experience with design and CANVA

  • Prior knowledge of ZOHO CRM or similar with abilities to develop and grow CRM to suit The Company’s needs.


Preferred Qualifications:

  • Master’s Degree: Business, Communications, International or Higher Education, Recruitment or similar

  • Experience working with higher education institutions and students

  • Second language in Spanish, German or Italian

  • Up-to-Date CPR & First Aid Certification

  • Reliable transportation with a full, clean Irish or EU driver’s license. Public transportation is not considered reliable

  • Salary: 43,500.00-45,000.00 Euros per annum based on experience
