Role Overview

The Membership Management Administrator will play a central role in managing and supporting Irish Sailing’s membership operations and systems. Working as part of the Support Services Team and reporting to the Chief Operating Officer (COO), the postholder will be responsible for the administration and accuracy of all membership data across Irish Sailing’s integrated systems— primarily Sport80, in conjunction with Checklick and the Irish Sailing Database.

This role will ensure the smooth running of all membership processes, support affiliated clubs and training centres with their membership needs, and help maintain accurate and up-to-date information across our systems. The role is key to ensuring that every member, club, and affiliated organisation receives a professional, efficient, and positive experience with Irish Sailing.


Key Responsibilities

  • Administer the membership platform, ensuring all individual and club membership data is accurate and up to date.

  • Process new memberships, renewals, transfers, and club affiliations within agreed timelines.

  • Work with clubs, class associations, and training centres to support the annual membership renewal process.

  • Maintain the integrity of membership data across systems (Sport80, Checklick, Irish Sailing Database), ensuring alignment and consistency.

  • Respond promptly and professionally to membership enquiries by phone, email, and through digital channels.

  • Generate regular reports on membership statistics, renewals, participation date and trends to support operational planning and strategic analysis.

  • Assist in developing and implementing improvements to membership administration processes and digital workflows.

  • Support the Finance Team in reconciling membership-related income and managing invoicing or payment queries.

  • Provide administrative support for governance, compliance, and safeguarding reporting related to member and club data.

  • Maintain confidentiality and compliance with all data protection requirements (GDPR).

  • Support the wider Support Services Team and Irish Sailing office with general administrative and operational tasks as required.

  • Training of staff and volunteers on best practice and the use of the new database system.

Knowledge, Skills, and Experience

Essential

  • Minimum 2–4 years’ administrative experience, ideally in a membership, CRM, or customer service environment.

  • Strong IT proficiency including Microsoft Office (Word, Excel, Outlook) and CRM/membership systems.

  • Excellent attention to detail and commitment to data accuracy.

  • Excellent written and verbal communication skills.

  • Proven ability to prioritise, multi-task, and meet deadlines in a busy environment.

  • Strong interpersonal and customer-service focus, with a friendly and professional manner.

  • Ability to work collaboratively within a team and independently under minimal supervision.

  • Demonstrated understanding of confidentiality and data protection (GDPR) requirements.

Desirable

  • Experience working within a sports organisation, membership body, or National Governing Body (NGB).

  • Familiarity with Sport80, Checklick, or similar CRM/membership platforms.

  • Experience producing or analysing membership reports or dashboards.

  • Understanding of Irish Sailing’s structure, activities, and membership pathways.

  • Awareness of safeguarding, equality, diversity, and inclusion policies within sport.

Terms and Conditions

Location: Irish Sailing, Dun Laoghaire, Co. Dublin (Hybrid work arrangements available)

Status: Full-time permanent position

Hours: 37.5 hours per week

Salary:Commensurate with experience
